Description

We're seeking a dynamic individual to step into a temporary role and lead our sales efforts within the Conference and Events team, covering maternity leave. This position offers a thrilling and fast-paced environment, where you'll have the chance to promote unforgettable experiences. From day meetings to evening events, private parties, and incentive days, all complemented by exhilarating driving experiences, you'll be at the forefront of delivering unforgettable moments for our clients.

The right individual needs to have a strong background in building relationships and networking,

selling conference and events spaces over the phone and in person, working in a team and motivating performance as well as controlling the events diary and budget.

 

You will need to manage the achievement of sales and administration objectives, focusing on hitting

departmental targets.

 

Develop ongoing sales strategy in conjunction with the GM, generating and reviewing reports and

analysing data to identify business opportunities and maximising and growing the company’s sales

turnover and profit margin.

Key roles and responsibilities

  • To lead Conference & Events at Mercedes-Benz World, managing process, performance and financial reporting. Adhering to all financial processes and budget– including invoicing, debtors, forecasts, purchase order requests and relevant systems.
  • To manage all aspects of sales enquiries, including the use of Sales Force to capture all client data and enquiry sales data, contract stage and clear and concise handover from the sales team to coordinators. This must be in line with the C&E SLA’s.
  • To liaise with all suppliers & departments (Catering, Track Management, Facilities Management, Customer Services, Logistics) to ensure all areas are delivered as per client expectation. Making improvements, continually reviewing and making recommendations to ensure best practice and consistency in all areas with continuous improvement.
  • Actively involved in the Marketing Plan for the C&E department to actively promote the venue in line with the overall strategy. To include research, planning and devising annual planning and attending networking events throughout the year.
  • Responsibility for ensuring the highest level of customer service and professionalism is maintained and developed with internal and external clients during sales and coordination process, ensuring accuracy to enable effective delivery for all business areas. Dealing with complex customers/issues directly using expertise and experience to manage efficiently.
  • Ensure that a team of highly motivated, qualified and trained staff are available to meet the demands and quality expectations of departmental customers, external customers and guests. Ensuring teamwork and high communication levels throughout the team.
  • Ensuring high standards in all areas with consistency, including room standards, packaging of product and offering – regularly reviewing to improve.
  • Ensuring accurate records kept/paperwork/booking system updated as per set procedures. General Administration and reporting, supporting the GM. Attendance and representation at KPI meeting and Quarterly meetings will be required.

 

Day to day Activities include:

  • Main point of contact for the department (team, sales and events related)
  • Manage and ensure coordinators and sales executives are developing their skill sets, with regular meetings
  • Look after event packages, costings and development of selling tools for the C&E department (including but limited to quote templates, master pricing overviews, internal menus, client facing material and upsell avenues)
  • Produce monthly and quarterly sales reports to the Account Director
  • Weekly sales reporting and forecast analysis on the departments performance and achievements
  • Analyse forecasts to see where risks and opportunities are
  • Prepare slides for quarterly reviews around team and business performance
  • Ensure SOP file is up to date and accurate
  • System updates – Sales Force – new packages, pricing and new items
  • CRM system – all content and figure are accurate and inputted daily
  • Correct data and sales figures added to the system daily
  • Re-designing and evolving F&B packages (with Account Director) – DDRs, dinners, menu
  • planning and development (with chef and the GM)
  • Complaint handling alongside The Catering and Contract Manager
  • Development of products and improvements with the Catering and Events Contract Manager
  • Development of preferred supplier list and external caterers (other avenues of revenue)
  • Chair sales meetings – minutes and actions
  • Input in marketing meetings and plans for the future, with a good knowledge of which exhibitions we should attend as a venue
  • Organise and liaise on all details for exhibitions to ensure everything is in order
  • Support with website updates and promotions
  • Manage online listings and budgets
  • Support with merchandise orders and what we might need for the business
  • Increase conversion rates and analyse stats across the business based on type of event
  • Support C&E team with enquiries, show rounds, event delivery and take on R&R of the two
  • other senior positions when on annual leave
  • Attend networking events where required
  • F&B experience and past experience working within a venue is essential to this role
  • Requirements
  • Proven sales executive experience, meeting or exceeding targets
  • Exceptional verbal and written communication skills
  • Experience in sales within the events industry would be preferred
  • Demonstrates team-leadership ability and adaptability
  • Adept at utilising CRM systems - Salesforce experience preferable
